Understanding Case Restrictions

Case creation workflow enable users to apply preservation quickly, efficiently, and with confidence to satisfy their regulatory requirements. Case restriction is a part of the case creation workflow and essentially translates to collection restrictions.

Case restriction is where a limit is set within the archives' corpus. When case restrictions are set, users or case reviewers have restricted access to search and add into the case for document level review. If case restrictions are not set, users or case reviewers have access the entire corpus thus making it difficult to perform targetted eDiscocery actions on case documents. Case restrictions can be setup to target specific datasets using attributes such as Countries, Divisions, Departments, Networks, Channels, Participants, and so on including participant-level custom attributes. The configured case restriction apply to all the archived and Day Forward Legal Hold (DFLH) documents.

The documents that match the case restriction criteria are displayed in the Case Management - Collect page. This enables the users to add the documents for further review, which can be viewed from the Case Management - Review page.

Users or case reviewers must have the Update Case Restrictions permission enabled to set Case Restrictions while creating or editing a case. This allows them to create and update the case restriction criteria. The conversations in the Collect page are displayed based on case custodian and the restriction defined while creating a case.

The conversations are displayed based on the permissions set under Role and Permissions.

  • If Full Archive Access is set to Allow, case restrictions are not applied and all conversations are displayed. That is, t he Full Archive Access permission overrides the set Case Restriction.

  • If Full Archive Access is set to Deny and Update Case Restrictions is set to Allow, the conversations are displayed based on the Case Restrictions and Custodian list defined while creating a case.

  • If both Full Archive Access and Update Case Restrictions are set to Deny, the following error message is displayed while performing a search in the Collect workspace:
    Please define Custodians or Case Restrictions for the search to be allowed.

  • If Full Archive Access is set to Deny, ensure that either Update Case Restrictions or View And Update All Cases is set to Allow to view conversations in the Collect workspace.

Document Behavior on Case Restrictions

When a Case Restriction is set, only the documents based on the case criteria are displayed in the Case Collect page.

For example, when a case with a Custodian named John Acton is added to a case, only the documents where John Acton is a participant are displayed in the Case Collect page.

Next, when the case is updated with a Case Restriction using the Network-Journal attibute as the target dataset, only Journal. documents where John Acton is a participant are displayed in the Case Collect page. Similarly you can set Case Restrictions to target the intended dataset.

When the case is updated to place all documents on Hold, all John Acton's Journal documents are placed on Hold.
