Disposition Overview

The Smarsh Enterprise Platform offers a system-driven, automated disposition process for managing the lifecycle of archived data. This process enables customers to systematically remove eligible documents from various storage locations within the platform, including object storage, elastic search indexes, and internal metadata tables.

System-wide disposition is currently administered by the Smarsh Operations team and remains disabled by default. Customers seeking to activate disposition can request the Smarsh Operations team to enable it. Upon activation, the disposition process will automatically remove all eligible data except for the following:

  • Items Subject to Active Retention Policies: Documents with unexpired retention periods mandated by organizational policies will not be disposed.

  • Legally Held Items: Any data placed on legal hold by reviewers will be excluded from the disposition process.

  • Alerted Conduct Queue Items: Alerted items within Conduct Queues that have not expired or been closed by reviewers will not be disposed.

Note

Tier 2 disposition operates independently of Tier 1, and can be enabled or disabled independently.

Disposition Functionality

The disposition process operates in two tiers:

  • Tier 1: Designed for smaller datasets and offers a 3-day grace period after policy expiry before deletion.

  • Tier 2: Handles larger datasets and deletes documents within 24 hours of eligibility.
