Retention Policies in Tier 1

The following types of retention policies appy to tier 1 data.

Default Retention Policy

The default retention policy applies to ingested data when no custom retention policy applies. The default retention policy can be configured as either Compliance (WORM) or Operational (Non-WORM).

If the Default retention policy type is set to Compliance:

  • The retention period can be increased or decreased at any time.

  • An increase in the retention period is day-forward and will apply to all data that is already tagged with the policy.

  • A decrease in the retention period will create a new Default retention policy with the decreased retention period. The old Default retention policy will be disabled, however will still apply to data that is already tagged with this policy.

If the Default retention policy type is set to Operational:

  • The retention period can be increased or decreased at any time for the same policy. A separate policy is not created for either of these cases.

  • An increase or decrease in the retention period is day-forward and retroactive for all data that is already tagged with the policy.

Note

When a new tenant is created in Enterprise Archive, the retention period by default is set to 6 months in the operational mode for the Default Retention Policy.

Dodd Frank Retention Policy

The Dodd Frank Wall Street Reform and Consumer Protection Act, which was passed in response to the Financial Crisis of 2008 and enacted in 2010, has a number of provisions around retention and access to information.

Enterprise Archive will support configuring a Dodd Frank retention policy with the following features:

  • Retention Period: The retention period will be 30 years.

  • The Dodd Frank Retention Policy will be applied to participants belonging to the Dodd Frank group name.

  • Historical content will be identified by custom attributes that will be assigned to the conversations that are ingested from third party tools.

Unidentified Participants Retention Policy

Unidentified Participants Retention Policy is a 100-year policy. Documents from Email Gateway or other products where participants or other required information cannot be determined are assigned to this policy by default. This policy cannot be modified, that is, currently, there is no option to edit the policy duration. This option will be made available in the future.

This policy is disabled by default, contact Smarsh Support to enable this policy.

Multiple Retention Policies

Multiple retention policies can apply to a user, a group, or data items in several scenarios such as:

  • User belonging to multiple groups that have different retention policies

  • Retention policy conflicts between a user and the group to which the user belongs

In such scenarios the retention policy that applies to the interaction is the policy with the longest retention period.
