Administrative Reports

Enterprise Archive allows the users to generate administrative reports that can downloaded for administrative propose. The reports are generated in .CSV format.

To download the Administrative reports:

  1. Click the Reports tab.

  2. Click Administrative.

  3. In the Administrative Reports workspace, choose the required report.

  4. (Optional) Select a Start and End date from the Date Range pane.

    Note

    This option is not available only for User & Role Report, Entitlements per Role Report and Participants Preservation Policy Report.

  5. (Optional) Click Select from the Users pane. Select the users from the Add Users window and click Add.

    This option is not available only for Entitlements per Role Report Role, Entitlement Audit Report and Participants Preservation Policy Report.

  6. Click Download. The report is downloaded to your system in a .CSV format.

Report Name

Description

Failed Login Report

This report lists login failures encountered by Enterprise Archive user's along with time stamp details, Username and Browser details used to log in to Enterprise Archive. The following details are available in the report:

  • Attempt Date - Time Stamp details when the user encountered login failure.

  • User Name - Name of the user who encountered login failure.

  • Browser Type - Browser type along with the version used by the user to access Enterprise Archive.

You can filter this report by using the available Date Range and Users options.

User Session Report

This report lists the session duration of all the Enterprise Archive user's. The following details are available in the report:

  • Login Date - Date and time when the user logged into Enterprise Archive.

  • User Name - Username of the Enterprise Archive user.

  • Browser Type - Type of browser (with version details) used to access Enterprise Archive.

  • Log off Date - Time when the user logged out of Enterprise Archive.

  • Duration - Total logged-in session duration of a user.

  • Reason - Reason for session expiry. The reasons could be, User logged out, session expired and so on.

You can filter this report by using the available Date Range and Users options.

User Role Change Report

This report lists Role change details of an Enterprise Archive user. The following details are available in the report:

  • User - Username of the Enterprise Archive user.

  • Date - Date and time when the user role was modified

  • Modified By - Name of the administrator who modified the user's role.

  • Old Role - Previous role ID along with the role name of the user.

  • New Role - Current role ID along with the role name of the user.

You can filter this report by using the available Date Range and Users options.

User & Role Report

This report lists all the Enterprise Archive users along with their assigned Role. This report also includes Administrator's details. The following details are available in the report:

  • User - Username of the Enterprise Archive user.

  • Email - Email ID of the user.

  • Role - Role assigned to the user.

You can filter this report by selecting specific the users from the Users option.

Role and Entitlement Audit Report

This report lists roles and entitlement of all Enterprise Archive users. The following details are available in the report:

  • Role Name - Lists all the user's role available in Enterprise Archive .

  • Date - Date and time when the role was created or modified.

  • User Name - Username of the Enterprise Archive user.

  • Permission - All permission details that are available in Enterprise Archive .

  • Status - Details the assigned permission (Enabled or Disabled) for every user.

  • Event - Details when the assigned permission was modified. The event will be either Create or Update.

You can filter this report by specifying a date rage in the available Date Range option.

Entitlements per Role Report

This report details the entitlement assigned for each role in Enterprise Archive. If a role is enabled for an entitlement, the respective field displays X and if entitlement for a role is unavailable, the fields are left blank.

This report also lists the case restriction and archive restriction access policy. The following details are available in the report:

  • Entitlements - All the entitlements available in the Enterprise Archive UI.

  • Administrator - Default admin role available in Enterprise Archive . Lists all the entitlement capable for an administrator.

  • Case Manager - Lists all the entitlement capable for a Case Manager.

  • Case Researcher - Lists all the entitlement capable for a Case Researcher.

Similarly, all the roles in Enterprise Archive are available with respective entitlements.

User History Report

This report details all the user activity logs and the user's who have performed any activity Enterprise Archive. The following details are available in the report:

  • User Name - Username of the Enterprise Archive user.

  • Date - Date and time when the activity was performed.

  • Modified By - Name or the admin reviewers who have performed the action.

  • Action - Details on the actions performed such as adding or removing review level, changing password, changing role of a user, and so on.

You can filter this report by using the available Date Range and Users options.

Archive Search Audit Report

This report lists all the search criteria used by each Enterprise Archive user along with the application details from where the search was performed. The following details are available in the report:

  • Date - The date and time when the user performed a search using a criterion.

  • User Name - Username of the Enterprise Archive user who performed the search.

  • Criteria - Criteria used to perform the search.

  • Triggered From - Application from where the search was performed, either in Archive Management or Case Management workspaces.

You can filter this report by using the available Date Range and Users options.

Report on Export Performed

This report lists all the export operations performed by each Enterprise Archive user in the Archive Management or Case Management workspaces. The following details are available in the report:

  • Name - Name of the exported report.

  • User - Username of the Enterprise Archive user who performed an export.

  • Application - Application from where the export operation was performed, either in Archive Management or Case Management workspaces.

  • Start - Start time when the export operation was initiated.

  • End - End time when the export operation was competed.

  • Progress - The progress or current status of the export operation. The progress can be Failed, Completed, Transporting, Completed with Warning, and so on.

  • # of Documents - The number of documents that were exported.

You can filter this report by using the available Date Range and Users options.

Participants Preservation Policy Report

This report list all the participants with preservation policy enabled at the time of generating the report. The following details are available in the report:

  • User ID - ID of the user under preservation policy.

  • Name - Name of the user under preservation policy.

The following Report Info are also captured in each of these reports:

  • Name: Name of the report.

  • Generated On: Date and time when the report was generated.

  • Run By: Name of the administrator who generates these reports.

  • Time Zone: The time zone used while generating the report.

  • Date Format: The date format used in the report.
