Case Reports

Enterprise Archive allows the users to generate reports on available Cases that can downloaded for administrative propose. The reports are generated in .CSV format.

To download Case Reports:

  1. Click the Reports tab.

  2. Click Case Reports.

  3. In the Case Reports workspace, choose the required report.

  4. (Optional) Click Select from the Cases pane. Select cases from the Add Cases window and click Add.

  5. (Optional) Select a Start and End date from the Date Range pane.

    Note

    This option is available only for Case Actions Report.

  6. (Optional) Select an Action Type from the Select Action Type drop-down in the Action Type pane.

    Note

    This option is available only for Case Actions Report.

  7. (Optional) Click Select from the Assignees pane. Select the users from the Add Assignees window and click Add.

    Note

    This option is available only for Case Summary Report and Case Actions Report.

  8. Click Download. The report is downloaded to your system in a .CSV format.

Case Summary Report

List the complete summary of a case with details such as:

  • Case Name - Name of the case.

  • Creation Date - Date when the case was created.

  • Created by - Name of the user who created the case.

  • Last Modification Date - Date when the case was last modified.

  • Last Modified by - Name of the user who modified the case.

  • No. of Assignees (Users) - Number of users in the case.

  • No. of Assignees (Groups) - Number of groups in the case.

  • No. of Custodians (Participants) - Number of custodian participants in the case.

  • No. of Custodians (Groups) - Number of custodian groups in the case,

  • No. of Documents Collected - Number of documents that are collected in the case.

  • No. of Documents Held - Number of documents that are held in the case.

  • No. of Documents Tagged - Number of documents that are tagged in the case.

You can filter this report by using the available Cases and Assignees options.

For Case Summary reports with large data sets, you can use the pre-generated report to reduce latency and generate the reports faster. A case summary report is generated daily at 12:00 pm IST and saved after processing. Hence, this report is not real-time, and you can expect a maximum delay of 24 hours in the report generation time. To download the pre-generated report, ensure that:

  • The case summary Report is selected.

  • No filters are applied to download the report.

  • The case report feature flag is turned on. Contact your Smarsh representative to enable the feature flag.

Case Summary Report

Case-Assignees Report

This report list the users assigned to a case or group along with their respective role. The following details are available in the report:

  • Case Name - Name of the case.

  • Assignees (Users) - Name of the user in the case.

  • Assignees (Groups) - Name of the group in the case.

  • Role - Role of the user/group in the case.

You can filter this report by using the available Cases option.

Case Assignees Report

Case-Custodians Report

This report list all the custodians in the case by participants or groups. The following details are available in the report:

  • Case Name - Name of the case.

  • Custodians (Participants) - Name of the custodian participant in the case.

  • Custodians (Groups) - Name of the custodian group in the case.

You can filter this report by using the available Cases option.

Note

This functionality is not applicable for Case Management 2.0.

Case Custodian Report

Case Actions Report

This report list all the actions performed in a case by a Reviewer with time stamp details. The following details are available in the report:

  • Case Name - Name of the case.

  • Reviewer Name - Name of the reviewer assigned to the case.

  • Activity Type - Type of activity performed on the case, which are:

    • Search

    • Apply Tags/Notes

    • Collect

    • Collect & Apply Holds

    • Release Holds

    • UnCollect

    • Export

  • Date/Time Performed - Time stamp details of the activity performed on the case.

  • No. of Items Affected - Total number of documents affected by the activities performed on the case.

You can filter this report by using the available Cases, Date Range, Action Types, and Assignees options.

Case Action Report

Case-Custodians Hold Report

This report list all the custodians on legal hold in the case by participants. The following details are available in the report:

  • Case Name - Name of the case.

  • Date hold applied - Time stamp details on which the hold is applied on custodians in the case.

  • Custodians - Name of the custodian participant/group in the case.

  • Type - Indicates the custodian type as either 'Participant' or 'Group'.

  • Records date range - The time stamp of from and to date range of custodian hold.

You can filter this report by using the available Cases option. You also have the option to schedule the Case Custodians Hold report for automated email delivery to specified recipients at the designated date and time.

Case Custodian Hold Report

The following Report Info are also captured in each of these reports:

  • Name: Name of the report.

  • Generated On: Date and time when the report was generated.

  • Run By: Name of the administrator who generates these reports.

  • Filter: Name of the filter applied on the report. This appears only if any filters are applied during an export.

  • Time Zone: The time zone used while generating the report.

  • Date Format: The date format used in the report.
